Title of the Job: Word/Data Processing Clerk III – Business Support Assistant

Location: Edmonton, AB

Job Description: The Edmonton Police Service (EPS) is seeking one (1) individual with excellent administrative, clerical, and customer service skills to work in the Procurement, Contracts & Supply Logistics Branch. Please note that there is NO work-from-home or hybrid work option for this position. Responsibilities for this position include:

  • Provide administrative support and executive assistance for the Branch staff and Director.
  • Coordinating interdepartmental approval processes including obtaining approvals for briefing notes, procurement authorizations, interagency agreement / memorandum of understanding authorizations, and other operational requirements.
  • Assisting with the administration of the interagency agreements database.
  • Ensuring data accuracy in the Branch’s various spreadsheets and other file trackers, particularly in Smartsheet.
  • Administering electronic and physical files.
  • Assisting with procurement activities by conducting low risk purchasing activities in SAP on behalf of the organization.
  • Assisting with logistics operations.
  • Assisting with data analysis in Excel and other software.
  • Coordinating meetings, OHS duties, Branch events, and training related needs.
  • Maintaining internal and external physical and electronic mailing systems of the Branch.
  • Ordering and maintaining office supplies levels.
  • Assisting with hiring process and onboarding of new staff.
  • Assisting in word processing, templates, presentations, data collection, report generating, etc.
  • Assisting with sending and receiving letters and courier packages.
  • Other administrative and clerical tasks as required.

Qualifications

  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing and training in microcomputer applications or completion of an approved certificate program.
  • A minimum of three (3) years progressively responsible supervisory and diversified word and/or information processing experience.
  • Proficiency with Microsoft Word, Excel, Outlook, PowerPoint.
  • Experience using SAP, purchasing, and supporting logistics operations is required.
  • Proven ability to work independently and as part of a team, exercise sound judgment, and provide excellent customer service in a challenging environment.
  • Proven ability to Ability to make independent decisions in accordance with established policies and procedures, demonstrating a high degree of initiative, judgment, and discretion.
  • Excellent organizational skills, able to complete work effectively and efficiently under the pressure of a fast-paced work environment with changing priorities.
  • Previous experience in a police environment would be considered an asset.
  • Excellent writing skills and experience drafting memorandums and other communications for leadership is a highly desirable asset.
  • Experience working in a law firm or for lawyers is an asset.
  • Ability to take initiative and work with minimal supervision; must be able to maintain confidentiality and integrity of all documents coming through and out of the office.
  • Working knowledge of municipal bylaws, provincial legislation, as well as provincial Peace Officer Program policies and procedures is an asset.
  • Applicants may be tested.
  • As part of your pre-hire screening, you will be required to complete an Enhanced Security Clearance. Should you accept employment with the Edmonton Police Service you acknowledge and agree to participate in future Enhanced Security Re-Clearances at scheduled intervals or in any other circumstances, exigent or otherwise, as required by Human Resources Division.

Hours of Work:
33.75 hours per week, Monday – Friday. Hours of work may be subject to the terms and conditions of a variable hours of work program.Salary Range:
21M, Salary Grade: 012, $28.64 – $35.91 (Hourly), $1,933.50 – $2,424.40 (Biweekly), $50,463.57 – $63,276.77 (Annually). The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.General:
