Job Description: DescriptionThe Business Administrator supports the Director of Child Care Services. Supports in managing the business activities of 5 childcare centers including administrative, data management tasks and facility related tasks.KEY RESPONSIBILITIES:
- Maintain all administrative and financial Army systems, ensuring required reporting is completed within established deadlines.
- Regular interaction with Director of Childcare Services, Centre Supervisors, and other DHQ and THQ personnels
- Working with supervisors of the 5 Childcare Centres.
- Assist with allocating funding to 5 childcare centre budgets in consultation with childcare Director.
- Assist with budgetary review and analysis of monthly financial statements to ensure that the operations remain within budgetary criteria.
- Apply for funding, maintain organized records of funding expenses, and prepare reconciliation documents as required by municipalities in consultation with Childcare Director.
- In coordination with the Supervisors and the Director, completes initial candidate pre-screening process.
- Ensure unsuccessful candidates are informed appropriately of their status.
- Data entry for payroll purposes.
- Monitor enrollments and waitlists for childcare spaces in collaboration with the Centre Supervisors .
- Create and establish new processes in place to enhance efficiency.
- Create tracking templates and documents to support the childcare supervisors understanding and ability to easily track funding, parent fees, staff salary enhancement, etc.
- Manage the administrative related tasks with audit processes.
- Identify maintenance work required to maintain the childcare facilities, apply for funding, and ensure maintenance work is completed to required standards.
- Develop childcare centre leases with DHQ and Corps Officers.
- This position has accountability for Divisional budget preparation and tracking, funding budgets, and ensuring proper reporting of same.
- Liaison with external funders, Ministry of Education program advisors, childcare networking groups.
Perform other duties as required.WORKING CONDITIONS:
- This is a temporary full-time position for 1 year based on 40 hours per week, Monday to Friday.
- Hours of work are flexible: Monday to Friday between 7:30 a.m. to 6:00 p.m. and includes a ½ hour unpaid meal break.
- Hybrid (may need to work from the office or a childcare location up to two days a week).
- Some travel to the Childcare Centres will be required.
- No overtime is associated with this position.
- May involve applying physical force to move/lift/transport material of up to 39 pounds.
- Travel between various work locations for operations, meetings or training as required.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Completed two (2) years of College Diploma: Business Administration, Office Administration, Accounting and or related field.
- Alternative combinations of education and experience may be considered.
EXPERIENCE AND KNOWLEDGE:
- 2-3 years’ prior related experience, including, accounting operations, experience in non-profit, fund and branch accounting, project management, property management, Administration.
- Preferred previous experience applying for, allocating, monitoring, and reconciling government funding.

- Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
