There are over 150 employees in Facilities, including Project Managers, Energy and Commissioning Specialists, Mechanical and Electrical Engineers, Architects, and space Planners. The facilities capital and operating expenditures are in the range of $100M for the University’s $2.0 billion assets under management. The 20-year Capital spending plan envisions $4.0 billion of new investment highlighted by uOttawa launch of project Top Shelf, a $300 million capital investment to build a new facility for the Faculty of Health Sciences at uOttawa’s River Campus, as well as a tower at the Roger Guidon campus to house uOttawa’s new Advanced Medical Research Center (AMRC).Position PurposeReporting to the Specialist, Project Management, the incumbent is responsible for the collection and management of data and documentation for the Facilities Service with the objective of ensuring sound data management and providing advice to upper management to support long-term strategic and operational planning. Under the management of the Manager, Client Relationship & Employee Engagement, the incumbent coordinates the collection and entry to ensure data completeness and accuracy.In this role, your responsibilities will include:

  • Operations Coordination: Coordinates the implementation of operational activities related to data management. Ensures that operations are optimal by developing and implementing work procedures, processes and tools that align with the services’ strategic objectives to provide the AVP, Senior Directors, Directors, and other Facilities members with a standardized and high-quality data management service.
  • University and Service Policies and Procedures: Develops and maintains a comprehensive understanding of University of Ottawa and Facilities Service policies, procedures, and practices. Participates in developing internal procedures and practices to ensure that all data and documentation requirements are understood, captured, and optimized.
  • Project Management: Manages assigned data collection projects by developing project specifications, identify project steps and track all relevant progress, perform inspections upon project milestones and ensure effective communication among stakeholders. Manages and monitors the delivery of data collection projects allocated to their team.
  • Compliance: Ensures complete handover between Facilities teams of required data and documentation in a way that is compliant with regulations and internal requirements. Ensures that governance standards and data management methodologies are adhered to so that Facilities data is upkept and complete.

What you will bring:

  • Postsecondary education in administration or a related discipline, or an equivalent combination of education and work experience
  • Minimum three years of demonstrated experience in a similar role
  • Experience using computer systems and software such as Windows, word processing software, spreadsheets, and databases
  • Experience working with Facility Management software such as Archibus, VFA, Maximo or other would be considered an asset.
  • Detail oriented with excellent communication, interpersonal and leadership skills.
  • Project management experience
  • Ability to produce high quality work under pressure while meeting strict deadlines.
  • Self-motivated, proactive and ability to multi-task
  • Organizational skills
  • Bilingualism –English and French (spoken and written)
