Taggart Realty Management is a leader in full-service property management and real estate development, with over 3 million square feet of residential, commercial and office space in our portfolio.We are currently seeking a Residential leasing agent to join our team in downtown Ottawa. Reporting to the Property Manager, the successful candidate will be responsible for ensuring that we minimize portfolio vacancies and provide a high level of service to current and prospective tenants. The leasing agent will ensure properties are maintained effectively; they will market properties and screen prospective tenants on a daily basis. The Residential Leasing Agent will preserve favourable relations with property owners, staff and tenants, contribute to a positive atmosphere in the office and portray a positive image of the company in their activities. In addition to the duties herein, the Residential Leasing Agent oversees and coordinates the orientation of new tenants and assists with office management and clerical tasks. All responsibilities must be performed in a manner consistent with the Taggart Realty Management vision and mission and must comply with all company policies and procedures.Major Responsibilities:
- Recording and updating details of prospective tenants, rental traffic into computer database/rental tracking.
- Respond to customer telephone and email inquiries about available suites
- Examining properties and informing maintenance staff of issues
- Advertising available properties and conducting property tours as part of marketing activities.
- Booking and showing apartments to potential tenants
- Screening prospective tenants to ensure they meet eligibility requirements.
- Completing lease applications and assisting with verification of application information.
- Completion of leases & provide signed lease and lease documents to the Property Manager
- Create welcome packages for new tenants
- Communicate with the team and update move-in/out reports
- Provide weekly rental updates to the Property Manager
- Inspecting properties when tenants take occupation and vacate
- Liaising with tenants to provide information and address their complaints and concerns
- Maintaining and storing documentation effectively
- Accepting rent payments, security deposits and other applicable fees
Statement of Qualifications:Knowledge, Skill and Abilities:
- Minimum of 5 years of experience in a previous rental agent role
- A high school diploma is required, with a college certificate as an asset
- Proficient knowledge of the real estate industry, property management principles and relevant legislation
- Valid Class G driver’s license with the ability to travel throughout the City
- Outstanding communication skills, both verbal and written. A prior sales background is considered an asset
- Excellent negotiation and problem-solving skills
- Strong people skills, with a high regard for exceptional customer service
- Available to work extended hours, evenings and weekends
Physical/Sensory Effort/Work Environment:
- Working primarily in an office environment, there will also be work in a construction environment related to site inspections and monitoring, including working outdoors
- Provide service to multiple people or departments, working under many simultaneous deadlines
- Willingness to be mobile and to travel to various sites as required. The role requires work to be performed primarily on-site but will require periods in the office
- Overtime may be required on an occasional basis in order to meet the changing demands of the project(s)
