The University Library is committed to developing welcoming, responsive, and accessible services and resources to support our diverse campus community, with a strategic focus on Indigenous peoples.Primary Purpose: The Program Assistant works independently and collaboratively to assist in the coordination and implementation of day-to-day activities, operations, and short-term planning for student learning and academic support programs and services of the University Library.Nature of Work: Situated within a student-centred, team-based work environment, this position reports to the University Library’s Assistant Dean, Learning and Curriculum Support, and plays a key role in contributing to the day-to-day and operational effectiveness of programs and services offered through the Learning and Curriculum Support division of the University Library. Working closely with colleagues and independently, the incumbent balances competing priorities in a fast-paced environment with peak workloads defined by the academic calendar. Independent problem solving, sound judgment, discretionary decision making, and excellent attention to detail is critical. The position interacts with library employees and university partners and is required to develop and maintain a high degree of professionalism and collegiality. Managing competing demands is the norm, and the standard for the quality of work and timely completion of work is high. Effective professional relationships that support collaboration and problem solving are essential for success in this position. The work is detail oriented and requires responsiveness and consistency of performance. Exceptional interpersonal and communication skills, both written and verbal, along with continual learning and knowledge-sharing are important components of the position. Broad guidance from the Assistant Dean is provided to determine appropriate actions for more complex tasks and decisions.Typical Duties Accountabilities:

  • Assists in the coordination, implementation, and logistics of student learning program delivery, including ordering and managing supplies and food, booking rooms, oversight for unit level documentation (i.e. spreadsheets and survey data related to programming), and timely financial processing of student honoraria (peer-mentor and USURJ editors).
  • Supports the Peer Assisted Learning Program with peer mentor recruitment, hiring, training, and mentorship.
  • Provides coordination for workshop and events programming and registration through an online calendar platform.
  • Acts as the administrative lead for the USask Subject Tutoring service through an online tutoring platform.
  • Supports unit operations by maintaining online communication and calendar tools, contact lists, for students, staff, and campus partners.
  • Supports unit operations for office supplies, acts as the division rep for library wide facilities and health & safety requirements, and is a member of the library-wide Operations Team.
  • Assists in the maintenance of the student Learning Hub cascade webpages, and other related online learning resources and tools such as TutorOcean, Zoom, LibCal, and Canvas.
  • Ensures direct and immediate response to enquiries about student learning programs and services and provides referrals to other campus units as appropriate.
  • Ensures strategic and unit-level planning is followed and understood through regular review of plans and goals.
  • Collaborates with library staff and faculty, contributing to the overall mission, vision, and values of the library.

Education: Completion of a bachelor’s degree from a recognized post-secondary institution or a minimum of 3 years of combined education and relevant experienceExperience: Minimum 3 years of experience in a student support role, preferably in a post-secondary institution.Skills:

  • Excellent interpersonal and communication skills (written and oral)
  • Reliable, dependable, and self-motivated; possesses a strong technical aptitude
  • Possesses effective problem-solving skills, sound judgement and excellent attention to detail
  • Demonstrated ability to develop and maintain collaborative, professional working relationships with colleagues
  • Ability to demonstrate tact, diplomacy and discretion and to always maintain confidentiality
  • Demonstrated ability to organize work originating from a variety of sources, set priorities, meet deadlines, and effectively handle interruptions
  • Demonstrated ability to work independently as well as in a team environment

Shift: Primary University work hours are Mon-Fri, 8:30 – 4:30. Flexibility to adjust schedule to meet evening and weekend demands may be required from time-to-time.

Salary: The salary range, based on 1.0 FTE, is $52,050.00 – 81,328.00 per annum. The starting salary will be commensurate with education and experience.
