Title of the Job: Production Management Analyst

Location: Toronto, ON

Job Description: Pay rate range: $40-47/hr.Your Role:
Facilitates and coordinates the end-to-end shareholder reporting process for all North American products. A Production Management Analyst performs production planning, manages timelines, and tracking of end-to-end process, provides software administration and uploading content to Client’s financial reporting system. In addition, submitting content and data provision from various internal teams, takes ownership of non-financial pages of the report, reviews and handles comment resolution and project management associated with the development and production of the Semi-Annual and Annual Reports to Shareholders. Serves as communications specialist (including writing and editing, as necessary); manages numerous projects simultaneously to appropriate specifications and deadlines, develops communication objectives and create strategies to complete projects in a manner consistent with Client’s mission and core principles.You will be responsible for:

  • Producing the non-financial pages of the shareholder reports for all open- and closed-end retail funds, VI funds, Exchange-Traded funds and Institutional and Private funds across all of North America

o Manager’s Discussion of Fund Performance (“MDFP”) and the Management Report of Fund Performance (“MRFP”) sections as well as other disclosure requirements of the of the financial pages such as Trustees & Officers pages

  • Approving of Investment Advisory Agreements, etc. Assist manager in establishing appropriate deadlines for reports

o Ensuring they are routed to all appropriate reviewers; ensure reviewer comments are correctly incorporated and all necessary signoffs obtained

  • Coordinating of data gathering for loads to ArcReporting system, including the upload of Fund Performance tables and charts, MDFP/MRFP Narratives, Trustees and Officers pages, and other non-financial page information
  • Overseeing layout and production of assigned fund projects, working in ArcReporting system to apply any missing snippets or updates needed to Chapters in the fund projects
  • Collaborating with internal and external business partners to ensure materials are appropriately designed and completed timely. Monitor content and proofread for accuracy of materials before they are published
  • Assisting with initial cycle pre-planning activities; the creation and maintenance of production calendars, drafting planning meeting agendas and scheduling meetings with the outside public accounting firm, Third Party Administrators (“TPAs”) and other internal groups
  • Tracking the end-to-end production process to make sure cycles stay on track to meet deadlines
  • Communicating with team on upcoming deliverables and deadlines not met
  • Collaborating with audit cycle leads on communication of status updates
  • Administering activities in ArcReporting, such as user set-ups, new fund set-ups, maintaining static fund information criteria and other special assignments, as needed
  • Coordinating with the Print Fulfillment Team or teams of a similar nature by providing final shareholder reports postings to the website and timely email deliveries to meet regulatory deadlines
  • Addressing comments received on the MDFP or MRFP sections – comments coming from internal and external legal, Performance Measurement and Risk “(PMAR”), Portfolio Managers or other internal teams, and Financial Reporting accountants
  • Maintaining knowledge of competitive practices with respect to shareholder communications
  • Ensuring all materials are consistent in tone and design with Client brand standards and style
  • Managing and developing client relationships; serve as a communications consultant in offering value-added solutions to meet client needs
  • Communicating on a regular basis with product managers, legal staff, accountants, compliance staff, designers and print and mail support
  • Developing text for annual and semi-annual reports, such as market overview as assigned
  • Documenting processes and procedures
  • Utilizing advanced knowledge of computer applications to develop new approaches in electronic tasks to improve efficiencies and quality or work products
  • Assisting in the coordination, implementation, and completion of special projects as assigned

The experience you bring:

  • Three to five years of work experience on a production management team environment serving as a communication specialist, financial writer and content data owner of shareholder or marketing reporting preferably in the mutual fund industry
  • Marketing materials design and brand knowledge a plus
  • Ability to work under pressure and meet tight deadlines, while providing high level of customer service
  • Excellent verbal and written communication skills, as well as, proofreading and spelling skills
  • Ability to prioritize, set and meet deadlines, and manage one’s own time
  • Interpersonal skills necessary to communicate effectively with a variety of individuals including clients and vendors
  • Overall understanding of Windows programs (Word, Excel), familiar with Adobe Acrobat (PDF) and above average software skills.
