Job Description: Our client, a boutique professional service provider who pride themselves on providing a highly personalized experience to every client is looking for an Office Administrator to join their vibrant and inviting team. This role is pivotal in providing an exceptional first point of contact for their clients and is integral in maintaining operational excellence throughout the organization.Location: Downtown Vancouver, fully in-office
Salary: $45-52K annuallyReception Desk Responsibilities:Answer phone calls coming through main office line and being the first point of contact for our client baseMeet and greet visitors (minimal)Manage mail & courier shipmentsScheduling the board rooms and pre/post set-up; event catering and bookingsOffice daily open/close procedures (break room set up for the day; doors; lights; equipment ready)Ensure lobby and commons areas of the office (including staff break room) are orderly and tidy throughout the dayTechnical support assistance to team on office equipment (all-in-one copy/scan/fax, postage machine, conference room computer/video/audio) & liaison with Managed IT Services vendorsPurchasing office supplies including acting liaison for office supply vendors & prepare weekly orders for approval by Chief Administrator, and placing approved ordersTake on role of Floor Warden for building emergency protocols (training provided)Administrative responsibilitiesProcess requests for client database updates/changes/additions/deletionsProcess requests for client workflow folder creation/updatesClient document generation, follow up, and storage/filing (mail merges, letter campaigns)Client technical support assistance to clients with document portalClient payment portal support as needed to troubleshootAssist Controller with accounts receivable follow up to clientsAssist Chief Administrator with Accounts Payable as requestedManagement Team support as neededQualifications:Past office experience (a must); experience in a professional office is the ideal.Ideally minimum 1-2 years general office or reception experienceExcellent business English; business grammar and spellingGood energyTeam PlayerMeticulous with details and superior accuracyProfessional phone skillsAble to work independentlyMust be able to juggle multiple prioritiesHandle highly confidential information with discretionAble to work under pressure with changing priorities and strict deadlinesProficiency in Microsoft Office applications including Outlook, Word, Excel and MS TeamsAdobe Acrobat experience required
