Title of the Job: Manager, Volunteer Shops (RFT 1.0 FTE)

Location: Ottawa, ON

Job Description: Position Summary:Reporting to The Board of Directors of the Royal Ottawa Volunteer Association through the Director, Volunteer Services (Member at Large of ROVA) or other designated Board member, this position manages the day-to-day operations of the Winter-garden Café, Winter-garden Boutique and Lobby Kiosk; supervise the Hair Stylist(s); coordinate rental of vendor tables; coordinate the vending machine and ATM contracts with third party service providers; and manage catering services on behalf of the Royal Ottawa Volunteer Association (ROVA).Duties:Volunteer & Employee Management

  • Supervises the Hair Stylist(s) who are responsible for the day-to-day operation of the Winter-garden Salon and the Royal Ottawa Place (ROP) Trimmers Salon.
  • establish Goals and Objectives with employees
  • conduct annual Employee Performance Appraisals
  • Schedules and trains volunteers, developing a monthly schedule to include regular volunteers and summer students.
  • Ensures good communication with the Shops Volunteers, i.e. individual or group discussions or memos.
  • Intervenes with volunteer/volunteer and volunteer/staff conflicts. Involve the Director, Volunteer Services to resolve conflict, seek support and guidance when necessary.
  • Ensures up to date procedure manuals are available for all Shops volunteers.
  • Advises Director, Volunteer Services when additional volunteers are required.
  • Provides a monthly update for the Shops Director (or designated Board member) to present to the Board of Directors of ROVA.

Equipment & Supply Management

  • Buys and monitors inventory for all Shops.
  • Monitors sales, cash flow, vouchers, gift certificates and budget.
  • Ensures all equipment is maintained in good working order, i.e. cash registers, fridges, coffee machines, microwave and /or any other equipment required by the various shops.
  • Manages vending and ATM machines, investigates complaints and concerns with the current suppliers.
  • Manages the catering services provided to the Royal Ottawa through the development of services and products to be offered; promoting; costing; coordinating; supplying; and billing of such services.

Vocational Development Support

  • Works cooperatively with Director of VS and referring clinical staff to support vocational opportunities through ROVA shops for clients of The Royal seeking vocational opportunities.
  • Supports individual goals that meet the needs, abilities and goals of the vocational volunteers.
  • Provides coaching and mentoring, providing a flexible and adaptive environment that is supportive of the building of skills and confidence for volunteers with vocational goals
  • Works collaboratively with volunteers to identify helpful accommodations to roles when required Ensure up-to-date Policy and Procedures manuals are maintained and available for all shops volunteers.

Catering Services Management

  • Works with internal partners to provide catering services customized to the needs of the customer
  • Manages all aspects of catering services from the initial point of customer contact to food preparation, service delivery/clean up and invoicing.

Financial Management

  • Assists with managing the annual budgets as directed by the ROVA Treasurer and Director of Volunteer Services.
  • Prepare monthly cash deposits and reconciliation reports for all retail and fundraising ventures
  • Help with the annual inventory process as directed by the ROHCG Finance Department, following the set deadlines.
  • Ensure retail product and catering menu pricing is current and competitive and increases made as product cost determines
  • Oversee the bi-weekly commission remuneration for contract hair stylist(s)
  • Supports ROVA fundraising events by developing systems to track and report revenue accurately.
  • Ensure all invoices are priced correctly and processed through ROHCG Finance in a timely manner
  • Train volunteers to prepare daily float and deposits for all shops and monitors this process to ensure accuracy.

  • Work in a manner that is in compliance with staff and patient/client safety practices, policies and procedures at the Royal.

Qualifications:

  • Completion of Ontario Secondary School Diploma (OSSD) is required
  • 2 Year Diploma in Retail, Food Services, Hospitality, Volunteer Management or other related programs.
  • Minimum 5 years of Retail and Food Services Management.
  • Safe Food Handling Certification is Mandatory.
  • Strong management skills with minimum of five years retail and supervisory experience
  • Excellent knowledge and comfort using electronic mail, word processing and spreadsheet software
  • Excellent time management skills
  • Proven experience in financial and employee management within a retail or food services environment.
  • Experience working with and supervising volunteers
  • Proven leadership and excellent interpersonal skills;
  • Mental health awareness and related training
  • Valid driver’s license and regular access to a vehicle
  • Must have good knowledge of Word, Excel, and Outlook;
  • Must be able to occasionally work additional hours with sufficient notice.
  • English level A- is mandatory in oral expression, oral comprehension, reading comprehension and written expression. Bilingual (French/English) is considered an asset.
