Periodically, you’ll be required to attend in-person activities or events.The Facilities Planning Specialist plays a support role in planning implementation of space design standards by engaging stakeholders, drafting project documentation, and communicating requirements. They also receive and administer operational facilities requests and coordinate the necessary activities to meet internal stakeholder needs.If you’re a strong administrator looking to gain experience within Facilities and Environmental Management, this would be a great opportunity for you.In this role: you will report to the Manager, Planning and Design.A typical day would involve:
- Provide operational support and maintain stakeholder relationships across the organization (e.g., Facility Planning shared inbox, office space, branch furniture, minor branch capital, workplace accommodations) enabling an efficient and seamless service experience for internal customers.
- Support project initiation and planning of capital projects by coordinating the completion of key activities, processing invoice payments, and taking meeting minutes.
- Support implementation of organizational design standards by documenting and communicating design guidelines and specifications.
- Manage updates on Office Space tool, including technical issue follow up and reporting
- Provide support for Corporate Space Plan
- Provide admin support, process invoices, take meeting minutes, and provide calendar support for the Director.

You are:
- 3 years of clerical or administrative experience
- Experience at a financial institution considered an asset.
- Experience working on design standards and best practices considered an asset.
- Experience with project management practices considered an asset.
- Customer service skills
- Strong working knowledge of Microsoft office programs
- Strong technical skills
