The theatres are operated as a revenue-generating community resource and are a strategic asset to the University.Mount Royal University’s Box Office is responsible for regular box office sales duties in Mount Royal University Theatres and the Taylor Centre for the Performing Arts performance venues and will always provide superior customer service assistance to all theatre rental clients and event patrons.About the RoleAre you a passionate event and conference professional with a strong desire to create and deliver exceptional experiences for clients and guests? Mount Royal University has an exciting opportunity for an Event & Sales Specialist within our Event, Theatre & Hospitality Services department.Reporting to the Director, the Event & Sales Specialist takes a leading role in the sales, development, coordination, and execution of meetings, conferences, weddings, and various special events at the Mount Royal Conference and Event Centre.Key responsibilities include managing comprehensive event logistics, such as preparing estimates, contracts, and billing; liaising with clients and internal support services; and planning and monitoring budgets. On event day, the Event & Sales Specialist ensures seamless presentation to bring the client’s vision to life. Additionally, the Specialist will work with clients to develop attendee registration websites using event registration applications and assist in coordinating virtual and hybrid event technologies.Given the dynamic nature of this position, a flexible schedule is essential to meet business requirements and ensure successful event delivery.ResponsibilitiesClient Service and Experience
- Respond as department lead in event, conference and performance leads via telephone, email and in-person.
- Market the use of Mount Royal venues and services offered by ETHS and share marketing materials via the web and hard copies by mail.
- Liaise, promote and advise clients about Event and Conference Services and provide site tours and event consultation.
- Act as the key point of contact for client requirements with ongoing consultation regarding services required prior to the event.
- Guidance and preparation of all event related logistics.
- Consult with clients in developing attendee registration websites using event registration applications.
- Post-event review with clients and securing future bookings as part of the sales process.
Event Coordination and Administrative Responsibilities
- Prepare quotes for clients and determine pricing based on existing pricing structure.
- Create contracts for confirmed clients, obtain appropriate approval and distribute accordingly.
- Prepare pre and post-event invoices, obtain appropriate approval and distribute as required.
- Create and maintain electronic files related to client bookings.
- Collect post-event feedback. Share positive feedback with team members and create solutions for negative feedback.
- Operation of applicable department software for client bookings as required.
- Create floor plan diagrams for all clients using departmental software.
- Maintain all relative event information in the shared software applications.
- Develop relationships with and coordinate with Mount Royal University internal service providers as required.
- Confirm insurance coverage and coordinate purchase of insurance certificate if required.
- Assists with coordination and support to virtual and hybrid events as required.
- Provides on-site support to ensure services are precise and as requested as part of event-day responsibilities
- Schedule event support staffing based on event requirements.
Sales and Promotion
- Promote the use of Mount Royal University venues and services for events.
- Contribute to sales & marketing strategies for the Event and Theatre Services area and specific event segment promotion.
- Support the development of appropriate advertising copy, brochures and e-marketing campaigns.
- Completes sales calls for existing clients to maintain relationships and to secure high demand booking dates
- Develop and maintain industry related relationships with a focus on business growth and cross-promotion opportunities.
- Represent Mount Royal University at industry association meetings, tradeshows and events as required.
On-Site Event Coordination
- Act as the key point of contact for the client and/or event organizer on site.
- Ensure that client requests are executed accurately and that over-expenditure does not occur without client consent.
- Responsible for the delivery of event logistics related to: technical requirements, food and beverage, bar services, audio-visual, parking, etc.
- Service digital events as a conduit to contracted virtual event specialists.
- Ensure that on-site support services are precise, accurate and meet all client requirements.
- Work flexible hours to accommodate client and event requirements.
Qualifications
- Three or four-year Bachelors Degree or industry related Diploma and commensurate experience
- Three to five years of experience in an event or hospitality-focused environment
- A minimum of three years of experience with planning and managing diverse events & conferences
- Exceptional customer service and communication skills (written and verbal)
- Experience in organizing detailed and diverse administrative tasks in an office environment
- Proven success in operating within a client focused, sales culture in a results-oriented environment
- Highly motivated, creative and solutions focused
- Reliable and adaptable with the ability to work a flexible schedule
- Demonstrated results in sales and business development is essential
- Experience with event registration applications and virtual & hybrid events
- Advanced computer skills in MS Office and Google applications
