The ideal candidate will be responsible for managing dissolution and cancellation notices, facilitating the loan-out processes of minute books, overseeing outgoing changes of Registered and Records offices, and providing general administrative support to the Corporate Services team. This role requires a high level of organization, time management, and attention to detail.RESPONSIBILITIES
- Ensures the maintenance of the Corporate Services Department’s corporate files including updating minute books/record books, closing files, sending to off-site storage, and updating and maintaining inventory.
- Assists with the locating of minute books, record books, share certificates, etc.
- Liaises with Central Services department to scan documents, build physical copies of minute books, and coordinate the pickup or delivery of minute books to clients.
- Assists with A/R.
- Monitors dissolution/cancellation notices, informs appropriate team members, and handles necessary follow-ups while diarizing all updates.
- Coordinates the transfer of minute books to new Registered and Records offices.
- Prepares letters of undertaking for professionals.
- Assists with projects as required by professionals or corporate law clerks.
- Other duties as assigned.
QUALIFICATIONS
- High School Diploma
- 2 years’ related work experience
- Aptitude to take care of clients’ needs in a professional and courteous manner
- Produce a high quality and quantity of work products under tight timelines
- Ability to multi-task within a fast-paced environment
- Handle stress in a business-appropriate manner
- Ability to use discretion when dealing with confidential information
- Strong problem-solving skills, including the ability to set priorities while dealing with conflicting and emerging priorities
- Excellent coordination and organizational skills
- Capacity to work independently, as well as in a team environment
- Excellent interpersonal skills with the ability to work effectively with other staff and professionals
- Strong written, oral and verbal communication skills
- Excellent grammar and proofreading skills
- Advanced knowledge of Microsoft Office Suite (proficient in Word, PowerPoint and Excel)
- Familiarity with ALF and BC Corporate Registry
- Knowledge of current legislation and government regulations
Gowling WLG employees benefit from a hybrid work environment.The starting range for this role is $55,000 to $65,000. Starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications.
