Clinical placements are arranged within multiple health care organizations including acute care, long-term care, and other community settings.Key Responsibilities:
- Provides general operational and administrative support in the School of Nursing; this includes administrative procedures associated with arranging clinical placements across the School of Nursing serving several undergraduate and postgraduate nursing and PSW programs.
- Assists in supporting and maintaining the database system for monitoring and evaluating clinical placement activity.
- In consultation with the Manager, Clinical Placement Office, the incumbent supports the scheduling of clinical placement assignments. Liaises with organizations and supports orientation and onboarding processes.
- Maintain complete records of all required documentation (insurance, WSIB) related to organizational liability associated with clinical placement agreements.
- Utilizes HSPnet (a web-enabled Practice Education Management system for the health sciences) to support the coordination of clinical placement assignments.
- Runs reports from various database systems (e.g., Banner, HSPnet); assists with updates of the Clinical Placement Office Hub located on the Learning Management System (LMS).
- In consultation with the Manager, Clinical Placement Office, the incumbent supports the scheduling of interviews for potential clinical instructors; prepares academic contracts, liaises with Human Resources to ensure all required documentation is completed.
- Triages instructor and student queries related to clinical placements and forwards any unresolved issues to the Manager, Clinical Placement Office.
- Acts as back-up to other support staff as needed during peak periods and absences.
- Other related duties as assigned.
Educational and Experience Requirements:
- Minimum two-year diploma from a recognized post-secondary institution in Business Administration, Office Admin-Health Services, or related field.
- Minimum two (2) years of experience in client service and administrative work in a busy environment with a diversity of people and exposure to unexpected situations/requests; experience with developing and maintaining a database and ongoing database management.
- Proficiency in the use of Microsoft Office, especially Outlook and Excel.
- Proficiency with HSPnet Software an asset.

- Must be able to carry out a client-service approach and be able to balance tasks with frequent interruptions and requests for assistance.
- Excellent English, oral and professional written communication skills.
- Experience with problem-solving, conflict resolution and maintaining confidentiality of sensitive information.
- Effective interpersonal skills; ability to work independently and as part of a team.
- Accuracy and attention to detail in collecting information and preparing documents and reports.
