Title of the Job: Administrative Assistant

Location: Toronto, ON

Job Description: In this role as an Administrative Assistant, you will provide comprehensive support to the President & CEO, the Board of Directors, and the Executive Team.Your duties will include:

  • Coordinating and arrangement of the CEO’s calendar, prioritizing items as needed.
  • Serving as the first point of contact for the CEO by managing incoming calls and inquiries and redirecting, as required.
  • Upholding a thorough filing system, to track all inquiries and information sent to and from the CEO.
  • Gathering documents from various departments for meetings and preparing an accurate package of information to facilitate decision-making for the President and CEO.
  • Organizing weekly Executive Team updates and meetings, including staff town halls and other strategic and business-related meetings.
  • Organizing and coordinating key stakeholder events, including Board meetings, external stakeholder meetings, and various delegations.
  • Providing support to the Board of Directors and Board Chair, assisting in preparation and distribution of all Board meeting minutes and records.
  • Maintaining minutes of Board meetings and committee meetings and ensuring they are readily available when required.
  • Aiding in the coordination and collection of information for the CEO report, conducting thorough reviews, edits, and ensuring alignment with the company’s strategic goals.
  • Providing support for the Annual General Meeting and the DiscoveryX conference, assisting with coordination of activities and administrative support as needed.

A high level of discretion and professionalism in managing confidential information is essential to this role. In addition, your proactive and detail-oriented approach will be critical to managing and anticipating the administrative needs of the President & CEO, the Board of Directors, and the Executive Team.Qualifications:

  • Proven experience in a similar administrative role or supporting senior leadership.
  • Superior time-management and multitasking abilities.
  • Detail-oriented and highly organized.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and comfortable with learning new digital tools and systems.
  • Ability to handle sensitive information with confidentiality and diligence.
