Job Description: We are seeking a professional Administrative Assistant for an exciting new opportunity! This role starts early in the morning -but that also means you are done early! (7 am- 3 pm, Monday- Friday- in office). It’s a small company with a ton of room for growth. The role is a little bit of everything – reception, admin, office operations and accounting. Calendar Management
Responsible for managing daily agenda, meetings, phone calls and appointment requests
Effectively reducing the administration time for the Managing Director
Managing all internal scheduling requests for calls, and meetings.
Establishing daily work priorities and keeps the Managing Director on task and abreast of immediate priorities
Providing support in preparing and formatting presentation materials
Email management: you will be responsible for managing, prioritizing, and responding when appropriate
Document management and filing; this could be financial filings and reporting, and general documents
Reception; manages all incoming inquiries, all guests to the office; in this role you will be up at reception
Ordering office supplies; manages office vendors
Invoicing; acts as the communication liaison between the external accountant and bookkeeperTHE REQUIREMENTS3+ years of experience in an Administration, Office Manager or Executive Assistant role
Prior experience managing calendars, meetings and email responses
Completion of Canadian Securities Course or willingness to complete in the first year of employment
Admin experience in a financial institution is a BIG ASSET!
Intermediate Microsoft Office skills; Word, Excel, PowerPoint
Proven ability to anticipate needs and meet deadlines, must have a strong sense of urgency and effective time management skills
Excellent communication abilities; written and verbal
Strong attention to detail and highly organized
Must be able to pass a criminal and credit background checkCOMPENSATION
