Our leading interior design firm, catering to a select luxury clientele, is seeking an Administrative Assistant who can embody our brand values of professionalism, integrity, and top-tier customer service.What You’ll Do:Office Management (75%):– Be the first point of contact: greet clients and visitors, manage calls, emails, and mail.
– Ensure smooth daily operations: coordinate office supplies, maintain inventory, and establish office procedures.
– Assist our talented design team: organize “lunch and learn” events, prepare purchase orders, compile design data, and manage design-related tasks.
– Handle administrative tasks: from updating budgets and proofing reports to preparing minutes and organizing office events.
– Collaborate with our bookkeeper: assist with office expenses, credit card receipts, and financial classifications.Executive Assistance (25%)– Be the trusted right hand to the President: manage schedules, coordinate client meetings, and arrange travel plans.
– Assist with high-level presentations and proposals: leverage your knowledge of PPT, InDesign, and other presentation tools to create professional documents.
– Conduct research and compile data: support the executive team by managing reports, expense tracking, and weekly task status updates.
– Represent the President: meet with suppliers, vendors, and others on behalf of the executive.What You Bring:– Communication Excellence: Impeccable interpersonal and communication skills.
– Proficiency in MS Office: Skilled in Excel, Word, PowerPoint, and comfortable with presentation software.
– Education in Office Administration: Formal education or equivalent experience in office management is required.
– Bonus Skills: Project management or time management certifications are a plus, as is familiarity with the luxury hospitality or interior design industry.Why Join Us?
