Our partners include Faculté Saint-Jean, Red Deer Polytechnic, Keyano College (Fort McMurray) and Northwestern Polytechnic (Grande Prairie). There are 35 Faculty, 92 Academic Teaching Staff (ATS), and 66 other employees (operating and research-funded).The Faculty of Nursing is located primarily in the Edmonton Clinic Health Academy (ECHA).PositionReporting to the Director, Undergraduate Programs, and working closely with the Undergraduate Programs Administrative Assistant, the Undergraduate Program Assistant is responsible for the effective support of undergraduate program activities, course management, and instructor recruitment.The Undergraduate Programs Program Assistant is responsible for assisting with administrative tasks related to program delivery. The position also plays a key role in recruiting instructors for undergraduate program courses.The position requires a solid understanding of the Faculty’s structure, general academic programming and administration, operation and program needs, as well as excellent communication and organizational skills. This position also demands the ability to work both independently and as a team member, innovative problem solving, solution finding and facilitation, prioritizing and completing multiple tasks under challenging time constraints. This position is required to work in person.Duties

  • Provides administrative support to ensure effective delivery of undergraduate academic programs, i.e. managing student FAQ, scheduling meetings including logistics, drafting summary reports from data collected via surveys, data entry, etc.
  • Support instructor recruitment and lecturer teaching assignments by updating process documentation, drafting advertisements, identifying recruitment strategies, screening applications, reaching out to previous instructors, updating instructor database, and arranging orientation.
  • Support course scheduling and staffing such as monitoring class enrollment to maximize course enrollment and balance course sections to accommodate teaching demand, and drafting scheduling templates.
  • Provides support for Faculty events including Faculty Development days, Pin Ceremony, student orientation, etc.
  • Assists the Undergraduate Programs Administrative Assistant related to University Calendar & Governance such as drafting proposed calendar program and course changes, coordinating approvals, assisting with calendar changes, updating the Faculty’s section of draft calendars, etc.
  • Provides cross coverage for the Undergraduate Programs Administrative Assistant during vacation and other absences and in instances of higher workload demands.

Minimum Qualifications

  • Undergraduate degree and/or a diploma in an appropriate area demonstrated with experience in course administration.
  • Minimum 2 years experience with program/administrative coordination.
  • Computer proficiency with MS Office (Word, Excel, Access, PowerPoint), Google Suite (Gmail, Google Calendar, Google Sheets, Google Chat, Google Docs, Google Slides, Shared Drives)
  • A thorough understanding of databases and database integrity procedures is necessary.
  • Demonstrated ability to adapt and pivot to rapidly changing demands.
  • Demonstrated attention to detail and high levels of accuracy.

Preferred Qualifications

  • Experience with PeopleSoft (Campus Solutions).
  • Experience with University Academic Calendar.
