Among other duties, it offers guardianship and trusteeship services, administers estates, and reviews court applications. OPGT also delivers capacity assessment training, investigates complaints regarding decision-makers, and provides guidance on advance planning and personal directives. For more information on OPGT, please visit:Role ResponsibilitiesThe Office of the Public Guardian and Trustee is seeking an Executive Assistant to support the Executive Director, Public Guardian and Trustee with the daily operations of the office.Responsibilities include:

  • Monitoring incoming mail for requests and queries from internal and external stakeholders
  • Gathering itineraries, meeting materials, and taking meeting minutes
  • Drafting communications and PowerPoint decks
  • Supporting action request response using ARTS
  • Gathering information from multiple sources to respond to queries from stakeholders
  • Maintaining SharePoint and Excel file tracking sheets
  • Supporting data collection and reporting
  • Reviewing, proofreading, and formatting a wide variety of documents
  • Arranging travel
  • Coordinating and scheduling meetings with internal and external stakeholders and executive offices (e.g. ADM offices, committee members)
  • Processing and entering expenses and invoices into GoA 1GX system for payment

The successful candidate will also be the liaison between the Executive Director’s office, Assistant Deputy Minister’s office, and other government departments and special interest groups.The successful candidate will require demonstrated experience with stakeholder relations and an ability to contribute to a positive workplace culture.This position requires handling sensitive and confidential issues.   • High school diploma and three years of related experience in the field of legal, estates, trusts, social services and/or office administration.
  • Experience and proficiency using the MS office suite of products.

Equivalency: Directly related experience or education considered on the basis of one year of experience for one year of education or one year of education for one year of experience.Assets:

  • Experience in the field of estate and trust administration.
  • University degree or a two-year diploma in a related field are preferred.
  • Experience applying and interpreting legislation and/or the policies and procedures used in the Office of the Public Trustee, including knowledge of the operational requirements of the Public Trustee Act, Adult Guardianship and Trusteeship Act, the Minors’ Property Act, the Wills and Succession Act, the Freedom of Information and Protection of Privacy Act and the Trustee Act, along with knowledge of the Surrogate Rules of Court.
  • Analytical skills and ability to apply relevant legislation, policies and procedures with respect to court order applications on represented adult client files, distributions on official guardian client files and identification of beneficiaries on deceased estate client files.
  • Strong inter-personal communication skills for conflict resolution and to establish good relationships with a variety of clients, stakeholders, the public and staff under stressful and sensitive circumstances.
  • Effective use of oral, written, analytical and decision-making skills.
  • Knowledge of legal terminology and legal concepts relating to represented adults, deceased estates, minors and trusts.
