Job Description: Job Description:Our client, a leading real estate development firm serving the Pacific Northwest, is searching to hire an experienced Office Coordinator – 18 Month Full-Time Contract This position is based out of their Burnaby office. In this role, you will support a team of outside sales representatives with administrative tasks and customer service for existing and new clients.Responsibilities:
- Serve as a welcoming first point of contact for the organization; welcoming guests and answering phones in a professional and friendly manner.
- Direct inquiries from investors, visitors, and the general public via telephone, email, and in-person.
- Handle incoming and outgoing mail, couriers, and faxes. Distribute timely correspondence to relevant departments or individuals.
- Perform administrative tasks such as filing, photocopying, and data entry.
- Provide in-office support and hospitality for guests and team members, including coffee/lunch orders.
- Ensure the office space, including reception area, is welcoming and exceptionally well-maintained.
- Oversee budgeting, ordering, and inventory of office supplies. Manage relationships with external service and delivery providers.
- Liaise with office facilities management. Create service tickets with property management for repairs and service requests.
- Manage building access cards and parking registration.
- Manage health and safety initiatives to ensure a safe working environment for all team members.
- Coordinate workplace safety training and compliance (e.g. WorkSafe) initiatives. Coordinate emergency drills and ensure employees are familiar with emergency protocols.
- Other ad hoc duties as required.
Requirements:Must Haves:
- 2-3 years’ of office administration, coordinator, or reception experience.
- Experience in real estate, investment, or financial services is an asset.
- Exceptional communication skills, both verbally and in writing, with strong interpersonal skills.
- High energy, fun, and collaborative in a team environment.
- Disciplined with a strong attention to detail and a dedication for ensuring quality and consistency.
- Integrity and confidence, able to handle privileged and confidential materials.
- High degree of professionalism and an ability to communicate with internal and external stakeholders.
- Must be proficient with Microsoft Outlook and Office (Word, Excel, PowerPoint). Familiarity with Microsoft SharePoint a plus.
