Job Description: DescriptionPosition at AinsworthIf you thrive in a team-oriented workplace that challenges your skills, to drive your career development, embraces diversity and rewards innovation, with competitive pay and great employee programs, join the Ainsworth (a GDI company) team today!Position Summary:In this role, the ideal candidate will efficiently generate service work order billings and maintenance contract documentation by preparing and distributing documents to Customers/Branch Offices via Email or Web Portals with appropriate back up. The ideal candidate will ensure all administrative functions required to close and prepare work orders for completion are adhered to through to the invoice stage and other tasks as required by management.Responsibilities:

  • Creates customer invoices/credits for service teams.
  • Completes invoices, Work Order Tickets/ Backup and arranges for delivery by emailing or loading via Customer Portal.
  • Requests Insurance Certificates, WSIB Certificates, files credit and approvals.
  • Onboards all new contracts with sales and branch management.
  • Reviews all contract documents, RFP’s, and internal sheets for accuracy to ensure all contract requirements are met.
  • Acts as a liaison with internal departments. Main support regarding house account contracts.
  • Reviews RFP documents prior to submission.
  • Runs expiry lists for contracts across the Eastern Ontario region.
  • Supports the regional support team as required to ensure understanding of contracts and internal and external client needs are met.
  • Performs quality audits to ensure all contract information is accurate and updated as required.
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations.
  • Adhere to the Company’s Quality System operating procedures.
  • Perform other duties as assigned by Management.

Qualifications:

  • Bilingualism considered an asset (French and English)
  • Accuracy and attention to detail.
  • Basic Accounting knowledge.
  • Proven ability to communicate effectively with a diverse group of internal and external stakeholders.
  • 4 years relevant Financial and Administrative experience.
  • College Diploma or certification or a combination of equivalent business experience and/or training.
  • Excellent organizational skills and ability to track, consolidate, and analyze large amounts of data and information.
  • Strong project management and support skills required with expert attention to detail, accuracy, analytic consistency and data integrity.
  • Requires mathematical skills to accurately develop statistics.
  • Must exhibit excellent verbal and written communication skills with the ability to interact professionally.
  • High level of proficiency within the Microsoft Office Suite, including Word, Excel, Outlook.
  • Excellent computer skills to prepare statistical data and reports are a must.
  • Experience with Accounting Systems, and the ability to learn other software quickly as required.
  • Proactive, resourceful, and hands-on independent worker requiring minimal supervision.
  • Demonstrates initiative and ability to work well in a fast-paced environment.
  • Demonstrates ability to meet deadlines and prioritize a heavy workload.
