Key responsibilities include reviewing expense reports, ensuring accuracy and compliance, and communication with claimants to address and resolve issues and discrepancies. Additionally, the Accounts Administrator supports the unit with various clerical tasks, including research fund maintenance, journal entries and purchase order liquidations.Main Responsibilities:Collect and review expense reports from claimants; analyzing the receipts, account codes, funds and amounts on expense reports. Contacting the claimant for missing information, discrepancies and errors and resolving the issues.Ensure accuracy and compliance with University, government and granting agency guidelines, tax laws as well as accounting, reporting and payroll policies and procedures.Act as a resource to academic researchers, students, and administrative peers; informing them on matters related to expense reports and travel advances, agency funding regulations, and University guidelines to ensure compliance.In conjunction with the Research Account Administrators in the unit, communicate on the researcher’s behalf with fund administrators on routine matters related to discrepancies in payments, closed funds, allowable expenses, fund balances, etc.Assist researchers and deliver training sessions on various financial-related topics as needed (e.g. filling out expense reports, process for requesting advances).Run reports and obtain data needed for special reports and projects.Process purchase requisitions, journal entries and deposits.Perform various administrative and clerical tasks according to the needs of the unit.Other Qualifying Skills and Abilities:Demonstrated knowledge and experience with basic accounting principles.Must be client-focused and service oriented with a proven ability to provide excellent customer service to a variety of clients (academics, students and administrative staff).Pro-active approach with the ability to anticipate needs with the ability to problem-solve.Proven ability to perform under pressure and exceptional organizational skills; efficient management of multiple deadlines and competing priorities.Demonstrated exceptional resourcefulness in identifying and resolving discrepancies.Exhibits a meticulous approach to reviewing documents; strong attention to detail is a must.Excellent interpersonal skills with a proven ability to work autonomously and as a member of a team.Demonstrated ability to work with MS Office Suite, including Word, Excel, Outlook. Experience with Banner (FIS), Minerva, Workday and Crystal Reports is considered an asset.Demonstrated ability to clearly transmit and receive information with excellent communication skills in both English and French (spoken and written).Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
