As part of Defy Gravity: The Campaign for the University of Toronto, we seek to harness the talent, generosity, and compassion of our global community to strengthen the University’s commitment to inclusive excellence and accelerate work on the most complex issues facing our world today.Your opportunity:Reporting to the Director of Operations, the Events Specialist will support the Office of Advancement by executing all aspects of donor and alumni events and meetings from initial planning, contracts, floor plans, set ups, venue bookings, and coordinating with external vendors. The Events Specialist plans event details for a variety of key internal and external events and is responsible for preparing service contracts and handling post-event follow-up.Your responsibilities will include:

  • Coordinating the schedule for program and event calendars
  • Analyzing client needs and making recommendations on event logistics and options for both in person and on-lineevents
  • Conceptualizing, organizing and executing event activities
  • Implementing plans and process improvements for events and related activities
  • Conducting post-event evaluation, analysis and recommendations for changes
  • Developing marketing/communications strategies that support fundraising campaigns and programs
  • Liaising with communications staff to coordinate marketing activities for events
  • Resolving minor complaints within the scope of the role and referring larger issues when appropriate

Essential Qualifications:

  • Bachelor’s Degree or an equivalent combination of education and experience.
  • Minimum five years experience in event planning and execution.
  • Experience using events management software.
  • Experience managing multiple projects and events at once.
  • Exceptional project management skills with the ability to manage budgets and negotiate contracts.
  • Strong relationship-building abilities with a variety of stakeholders, including partners and volunteers.
  • Proficiency with virtual and hybrid event technologies.
  • A creative, resourceful approach with a knack for problem-solving on the fly.
  • Strong proficiency with Microsoft Office suite (PowerPoint, Excel, Word and Project).

Assets (Nonessential):

  • Formal project management background or education.
  • Experience using donor databases such as Raiser’s Edge.
