Job Description: Sales CoordinatorToronto, ON, Canada Req #29Monday, July 29, 2024Job PurposeThe Sales Coordinator is focused on supporting Sales Reps with all administrative and operational processes, allowing them to spend maximum time in the field generating revenue with the confidence that their customers are well supported, and all deals are effectively delivered.Essential Roles & Responsibilities: * Pre-sale support assisting Sales Reps to prepare quotations and proposals.

  • Order Coordination ensures timely and accurate fulfillment of orders.
  • System administration including entry and maintenance of customer data in the CRM and ERP (NetSuite).
  • Post-sale customer support including coordination of warranty and equipment service needs of customers.

What does success look like?Reporting to the Vice President of Sales, the Sales Coordinator supports the Sales Rep team with administrative assistance and coordinates all orders from quotation to fulfillment.As part of the customer-facing sales team, the SC’s core responsibilities include quote preparation and entry in the ERP, collaboration with Sales Reps on costing and margin, creation of Sales Orders (SOs) and Change Orders (COs), collaboration with Purchasing to ensure product and services are accurately procured, and coordinating the effective fulfillment of all orders. In addition to coordinating box sales transactions, the Sales Coordinator also interfaces with Project Management to ensure the effective delivery of all Project Sales and Services until final fulfillment.Success in this role requires a customer-centric and team-focused ‘WE first’ attitude. You must be excited by building and following efficient processes, with superior attention to detail and an ability to prioritize, schedule, and organize your work. A high level of self-awareness and self-imposed accountability is essential, and you must be energized by helping others succeed and comfortable assisting peers with their accountability to established processes and procedures.A successful Sales Coordinator has a working knowledge of Enterprise Resource Planning (ERP) and CRM software platforms. Excellent written and verbal communication skills are essential, and previous experience in product sales is beneficial. An ability to coordinate multiple projects in tandem, habitual note-taking, and maintaining a well-organized calendar are indispensable skills for any individual in this role.Duties and Tasks RequiredPre-Sale Support:

  • Assist reps in building specs and creating a Bill of Materials (BOM).
  • Gather costs from vendors/price lists.
  • Confirm availability of products/services.
  • Build and update quotes in NetSuite.
  • Collaborate with Sales Reps to set appropriate margins and sell prices.

Order Coordination:

  • Build and update Sales Orders (SO) in NetSuite.
  • Write and coordinate Change Orders (CO) in NetSuite.
  • Collaborate with Purchaser to ensure fulfillment timelines are achieved.
  • Update Reps and/or Customers on fulfillment details as required.
  • Gather and communicate all shipping details to warehouse & logistics.
  • Send Pick Requests to Warehouse.
  • Communicate outgoing tracking information to Reps and/or Customers.
  • Coordinate any special billing instructions as required.

System Administration:

  • Enter and maintain customer data in CRM.
  • Enter customer and shipping information in NetSuite orders.
  • Collaborate with Finance to create and maintain customer account data in NetSuite.

Post-Sale Support:

  • Manage customer warranty and service issues efficiently, working directly with clients.
  • Process and track all service requests through the CL Service department and other service partners.
  • Meet timelines for service per company policy and customer service standards.
  • Ensure to communicate with representatives and customers regarding any issues or delays.
